About project

A comprehensive platform for a private school, integrating a modern branding website, an automated recruitment system and a student portal ("Student Zone"). The system was tightly integrated with a custom-built electronic grade book. The project completely eliminated manual document handling during enrollment, drastically reduced service time at the institution and automated the first login process for thousands of users – all designed so that infrastructure maintenance runs completely free of charge.

The system anticipates user actions and preloads data in the background, so screens open with no visible loading time. The interface was designed for working with large numbers of students, and thanks to high optimization the system can run on free cloud service tiers.
Hybrid recruitment systemCandidates fill in their data online at home or on their smartphones while standing outside the office. Staff only print ready-made documents, completely eliminating queues.
Drastic reduction in phone inquiriesBy preceding the work with proactive interviews with secretariat staff, I identified their main pain points. Implementing a precise FAQ section, an office hours panel, and dedicated automation tools based on these findings effectively sped up their work and relieved staff from routine questions.
Self-service student onboarding (PESEL Auth)An innovative first-login system pulls data from the grade book, verifies the user and allows them to independently manage their password and email address.
High conversion (Lead Generation)Optimized site structure, trust-building animations and strategically placed, shimmering CTA buttons ("Enroll") significantly increased the number of new applications.
Zero maintenance costsThanks to advanced code and database optimization, the entire platform runs on free cloud plans. This means there are absolutely no monthly maintenance costs for the institution to keep the system running.
1. The Problem: Recruitment Bottleneck and Administrative OverloadThe school had a very small secretariat, capable of serving a maximum of two people at a time. The enrollment process relied on manual form filling, generating paralyzing queues. Staff were constantly interrupted by phone calls with basic questions, and the specifics of a private institution meant irregular opening hours, which confused students. There was no central ecosystem for students.
2. Homepage Design (Trust and Conversion)The website was designed to break away from the outdated competition and guide the user straight to enrollment:
Hero SectionUses an animation of student photos orbiting around the logo, which immediately catches the eye and builds authenticity (Social Proof). Key contact information is placed right there.
User JourneyBelow the main section, a clear list of available schools with descriptions was introduced. A classic contact form was placed at the very bottom.
Shimmering CTAs and FAQ"Enroll" buttons received subtle shimmer animations and remind users of themselves at every stage of scrolling. Adding a Q&A section (created based on real issues reported to the secretariat) immediately cut the wave of repetitive phone calls.
3. Recruitment Revolution and Queue EliminationI created a recruitment funnel that eliminated the institution's biggest bottleneck, shifting the burden of paperwork from the small secretariat to an automated system.
No more filling documents by handPreviously, every candidate had to manually fill out stacks of paper forms on-site. With the secretariat's limited capacity, this generated paralyzing queues and frustration. Now the entire process takes place through archimedesrzeszow.pl. Candidates enter their data in advance at home, and if they come unprepared – they complete the form on their own smartphone while waiting outside the office.
Auto-completion (Smart Forms)The system intelligently assists the user while typing – entering a postal code, for example, automatically loads the corresponding region and city. This maximally speeds up the process and completely eliminates typos.
Printing auto-filled documentsToday, a candidate enters the office only to sign. With a single click, the staff member generates a complete document package from the database (enrollment application, contract, referral for medical examination), already fully filled with the data previously entered by the candidate. The secretariat doesn't need to manually copy anything, reducing service time from long minutes to a few seconds.
4. Intelligent Onboarding (First Login)Onboarding thousands of students into the system was fully automated:
Initialization via PESELThe student selects "First login" and enters their PESEL. The system searches the grade book database, identifies the most recent semester and verifies the assigned email address.
Data autonomyThe student verifies their email, which automatically overwrites in the main school grade book. Verification is done through an activation link, and the user sets their own password. From that moment on, they manage it entirely from the Student Zone.
Fallback scenariosIn case of lost credentials, the system provides simple recovery options for the student, and in extreme cases offers staff 3 ready-made options for manual reset or granting temporary access.
5. Student Zone (Student Portal)An integrated panel gathers all key data pulled in real time from the grade book:
  • Class schedule for the current semester.
  • Grades with strict division into theoretical subjects and practical classes.
  • History and current status of tuition payments.
  • Profile management and account settings.
6. Granular File and Announcement SystemThe teaching materials distribution module gives the school full flexibility without generating costs:
Precise permissions and expirationTeachers add files and messages in a dedicated Announcements module, targeting all students, a specific school or a specific semester. Each file can have a pre-programmed automatic expiration date.
Educational persistenceMaterials are assigned to semesters, not calendar years, allowing them to seamlessly follow students to the next stages of education (no need to re-upload them every year).
Running completely for freeTo keep the system running on free cloud hosting, the ability to upload server-heavy multimedia (video/audio) was deliberately blocked in favor of documents only. The cost of maintaining smooth operation and hosting for the institution is exactly zero.
